Here’s How You Can Manage Time And Attendance of Your Employees Successfully

In any organisation, both the employer and the workers tend to have complaints and suggestions that are valid. By the end of the day, it is your duty as an employer to attend to all the grievances of employees so that you can maximise their work output and reach the income you desire.

The most common issue that employees raise is the issue of time. Employees argue that there is a lot of workloads to be done within a short time. Time is one of the most critical factors for all investors and entrepreneurs.

For this reason, it is imperative to possess the necessary skills for efficient time management. Create a comfortable environment for your workers to avoid absenteeism as you motivate them to work more.

The following are ways to manage time and attendance to increase productivity and thus profits.

1.Workplace disputes

There are different kinds of people in any working environment. The differences between these people will make them disagree at times. Such disputes can spoil the working environment, thus demotivating the workers and wasting valuable time. You should set up a dispute solving system that will bring back peace within the workers within the shortest time possible.

You need to make sure you attend to the issue immediately and do your investigations to get facts. Avoid taking sides and focus more on finding a way to resolve the grievances. You can also include a noninvolved person for the best judgment.

2.Transparent communication system.

Whenever workers feel left out in some matters regarding the organisation, they lose morale and fail to perform their best. You need to avoid such a situation in all ways possible. Employ a communication system that is clear to every member and avoids secrets. Every employee needs to feel like part of the team.

The system used in communication should be fast so that things can happen without delay. Transparency in communication makes the workplace a suitable environment for workers and saves the organisation valuable time.

3. Process automation.

Process automation relates to the use of technology to do a task to complete a given sequence. Automation is the key to the rampant development of any business. Automation has become an exciting and revolutionary trend for entrepreneurs focused on keeping up with the standard evolving technology. There are processes in the organisation that can be easily automated.

These processes do not require so much human attention, and replacing the worker with a computer will increase the accuracy and speed of output in some areas, thus saving a lot of time. Take security, for example; the security camera and check-in systems provide accurate and more reliable service at a lower cost and faster.

4.Set up a constitution.

A constitution that will govern workplace activities will help you as an employer reduce absenteeism. Your workers will take the issue of attendance more seriously when you document a set of simple rules that explain the consequences of late coming and absenteeism.

It is also advisable to involve the workers in designing this document or ensure that everyone understands the consequences of transgressing in detail. The constitution should also apply the necessary time-saving steps to follow while dealing with hiccups such as conflict and avoid it.

5.Motivation strategy.

Workers should feel the urge to work more within themselves. As an employer, you can offer or motivate your employees by giving rewards and promotions to individuals who prove they deserve it for working exceptionally hard. However, this strategy may benefit a few individuals who are in the lead.

For this strategy to work efficiently, you need to make sure that it recognises and appreciates every individual’s effort by offering monetary bonuses since it can apply to all at the same time. Such rewards offer the workers daily mini-goals to work for while saving time too.

6.Invest in a reasonable time and attendance system.

Every member of a given organisation is equally important when it comes to overall productivity. For the processes to run smoothly, there has to be a plan, and all contributors need to be efficient in attending to their duty.

A best time and attendance system will significantly assist in this process. It will make it easier to check attendance and ensure smooth working of all stations allowing supervisors to engage in other equally important tasks.

7. Maximise time and limit interruptions.

Meetings in organisations end up consuming a lot of time otherwise meant for productivity. Reduce unnecessary meetings and pass on information through other means of communication, such as texts or notices. Set breaks where workers can follow up on each other for consultations to avoid interruptions during the working hours. This strategy will ensure smooth running and time maximisation.

A significant percentage of the losses incurred in most businesses is poor time management skills and worker inefficiency, and absenteeism. Business owners should take these issues seriously since they are easily resolvable through the above and other ways.
